The agent looks at your real availability while the customer is still on the phone. It offers what is open, holds the slot the second they say yes, and reads the address and the price back to them before they hang up. Two people calling at the same moment cannot take the same slot, because the hold happens at the moment of agreement, not later when someone gets to a laptop.

Then it does the part you keep meaning to do. It sends the confirmation straight away, sends the reminder the day before, and handles it when the customer texts back on Wednesday to move to Friday.

Order Lookup

Where is my order, asked at 11pm, answered at 11pm.

This is the question that eats your evening. The agent takes the order number, or just the phone number the order was placed with, looks it up where the order actually lives, and gives the real status. Dispatched this morning. Waiting on the supplier until Friday. Sitting at your counter since Tuesday, please come and collect it.

It reads the status at the moment of asking, so it never repeats yesterday's answer to today's question. And when the order is not there, or the record looks wrong, it stops. It does not guess. It hands the conversation to you with the order number, the customer's details and everything already tried, typed out and waiting.

Getting Paid

The MoMo link lands while they still want to pay.

A customer who has just agreed to pay is the most likely they will ever be to pay. The agent sends the link there and then, over WhatsApp or SMS from the same number they were just talking to, for the exact amount from your own price list. No 'I will send it later'. No waiting until you are back at a desk.

Mobile money comes first because that is what people have in their hand. Cards are there underneath for the customers who use them.

There is also a line the agent cannot cross. It does not decide a discount. It does not authorise a refund. It does not adjust an amount because someone pushed hard or was charming about it. Those come to you, every time, with the recording attached. That rule is written into the system, not into a paragraph of instructions the model might talk itself out of.

Invoices

The invoice goes out today, not on Sunday night.

It builds the invoice from the same price list the agent quoted from, so the figure on the paper matches the figure the customer heard on the phone. Your logo, your numbering, your terms. A proper PDF, not a WhatsApp message with some numbers in it.

It sends it by WhatsApp, email or SMS, whichever one that customer replies to, and then it keeps watching. Delivered. Opened Tuesday. Still unpaid after seven days. Paid Thursday morning. You can have it follow up on the quiet ones, politely, on a schedule you set, and stop the moment they pay.

Sunday night gets to be Sunday night again.

Most leads die in the first minute. Someone calls, you are elbow deep in something, you take a name and a number and you never find out what they actually wanted.

The agent asks properly, in the same order, every single time. What are you looking for. Where are you. When do you need it. What sort of budget are we talking about. Then it scores the answers against rules you set, so a serious buyer and someone checking prices for a project next year do not land in the same pile.
